Job Summary
Based in the Armed Forces Careers Office in central Bristol, (Royal Navy), the Business Service Co-ordinator role involves acting as the central coordinator for building security, health and safety compliance, and maintenance management, ensuring adherence to regulations and maintaining a safe and efficient working environment for all 3 departments; the Royal Navy, Army and Royal Air Force personnel you will be working alongside. The role sits within the Recruitment and Attraction team as part of the People and Training Directorate in the Royal Navy. The post holder will be part of a professional team and will be required to be the point of contact for all building related issues detailed above as detailed in a Service Level Agreement held between all occupants. Civil Servant and Armed Forces Personnel work together to achieve the Head of Recruitment and Attraction goals. The position is full time: 37 hours per week the job is mainly in the office but there can be some home working for administrative tasks.
Job Description
The role requires overseeing internal and external security measures, health and safety compliance, and building maintenance. Responsibilities include liaising with key stakeholders, managing compliance records, and conducting regular safety checks. The position also entails leading on first aid and maintaining equipment, ensuring operational readiness, and adherence to safety and security regulations.
As Building Coordinator for maintenance issues, the post holder will act as the primary point of contact for resolving maintenance concerns, ensuring prompt resolution of faults by liaising effectively with cleaning and maintenance contractors. Coordinating with the Infrastructure Manager, Defence Infrastructure Organisation (DIO), Recruitment Manager, Team Managers, contractors, and landlords will be essential to maintain satisfactory maintenance standards.
Regarding health and safety, the post holder’s responsibilities will involve ensuring strict adherence to Safety, Health, Environment, and Fire (SHEF) regulations. This includes completing and maintaining COSHH/DSE and Risk Assessments, as well as managing SHEF/Standing Orders, Asbestos and Legionella Management Plans, Security Register, and Fire Safety publications.
In terms of building security, the post holder will serve as the central coordinator for both internal and external security measures. This will involve managing Business Continuity Plans, overseeing security alarms, CCTV systems, and key registers. The post holder also acts as the initial point of contact for Navy Principal Security Advisor (PSyA) and handle Fire and Navy Health & Safety Inspections.
As the lead for First Aid provision, the post holder will ensure that all equipment is maintained and that reporting via the Naval Lessons Identification and Management System (NLIMS) is accurate and timely. Additionally, the role is responsible for collating and submitting End-of-Month Motor Transport paperwork.
Fire safety will be another critical aspect of the role, requiring weekly fire call point tests, equipment checks, annual inspections, and fire drills are conducted as per Service Regulations. The post holder will also oversee annual training and maintain records for the Armed Forces Careers Office (AFCO).
These responsibilities demand meticulous attention to detail, effective communication with various stakeholders, and a proactive approach to ensuring the safety, security, and operational readiness of the facility.
